Privacy notice

CPI (Church Planting Institute Japan, "CPI") runs the Renown conference, Renew and other CPI events (the "events"). CPI follows Japan's Act on the Protection of Personal Information (APPI) and handles your personal information as described below.

1. What we collect

  • When you register: names (in kanji, kana and roman letters), email, phone, address, church or organization, type of ministry, names and ages (grades) of family members and children, dates you're attending and staying, whether you need interpretation, and similar details.
  • Food allergies and health needs. These can be "special care-required" (sensitive) information under the law.
  • Payment details: amount billed, date and amount received, the name on your bank transfer, any transfer screenshot you send us, and the name for your receipt.
  • Speakers and booth exhibitors: profile and description.
  • US volunteer team: travel details, applications, passport information and sending-organization forms.

2. Why we use it

  • To register you for the event, bill the fee, confirm your payment and issue receipts.
  • To arrange lodging, meals and rooms, including allergy needs.
  • To run check-in, name tags, and the children's program and its safety.
  • To contact you about the event: changes, information and surveys.
  • To introduce speakers and booths on our website and elsewhere, using only what they have given us.
  • To keep accounting records.

We don't use your information for anything else.

3. Sensitive information (allergies and health)

We collect allergy and health information only with your consent (a parent's or guardian's for children). We use it only to arrange meals and keep people safe. We share only what the venue needs, and we delete it within 3 months after the event.

4. Sharing and service providers

We don't share your information with anyone without your consent, except:

  • The venue (Tsumagoi Resort Sai no Sato and the company that runs it), which receives what it needs for lodging and meals: names, numbers, room assignments and allergies.
  • An organization paying your fee (for example MTW or JPM), which receives what it needs to be invoiced.
  • Where the law requires it.

Some of this work is done for us by these service providers:

  • Google: email, Drive and Sheets.
  • Render: the server for our payments tool.
  • Bluehost: the server for the registration site, japancpi.com.
  • Webflow: our website, jcpi.net.

5. Providers outside Japan

Some of these providers keep their servers in the United States and Singapore. Japan's Personal Information Protection Commission publishes information about the privacy laws of other countries.

6. How we keep it safe

  • Only the event staff who need your information can see it.
  • Our admin tool requires a Google sign-in and records who changed what.
  • All connections are encrypted (HTTPS).
  • Data is backed up daily.
  • After each event we delete information we no longer need.

7. How long we keep it

  • Accounting records: as long as the law requires.
  • Allergy and health information, children's information, and travel and passport information: deleted within 3 months after the event.

8. Seeing, correcting or deleting your information

To see, correct, add to or delete your information, or to ask us to stop using it, contact us below. We will confirm it's you and act without delay. There is no fee.
